GETTING STARTED

 

Authorization in the system

To aquire the access to all the resources of the Portal, the user is required to authorize on the Portal. To do that, one should visit the website www.export.by, using a web browser.

Note. For the convenient operation, the screen resolution is preferable to be not less than 1280 × 1024px.

 

For authorization the user needs to choose the menu bar «Registration/ Login» in the control panel of the Portal to reach the authorization menu.

Enter the e-mail and the password, used during the registration on the Portal, into the corresponding fields. If you don't remember the e-mail, you need to contact us at info@export.by, providing the name of your company in order to receive the forgotten e-mail to restore the access.

If authorization is successful, the user will be able to access the resources of the Portal, including the module «User Account».

Note1. For the purpose of information security the password provided will be displayed as the sequence of points.

Note 2.

  • in case of entering wrong e-mail or password, the access to the module will be denied, and the user will get to the authorization page to see the message «These credentials do not match our records»;
  • the system may inform the user that the password is not entered, if the user has forgotten to enter it. And the user will see the message: «The password field is obligatory for filling»;
  • if the user has forgotten the password, it is possible to use the implemented function «Forgot the password».

How to reset the forgotten password?

The user should tick the box «Forgot the password».

On the next page the user needs to enter the e-mail adress into the corresponding field, then press «Send Reset Link» and open the mailbox. The mailbox will contain a letter with the link to reset the password. Following the link, enter a new password into the corresponding field.

Registration in the system

The user is given the possibility to register on the Portal for subsequal access to its services. To register on the Portal the user needs to choose the menu bar «Registration/Log in» in the control panel of the Portal to reach the authorization menu.

If you are not a registered user, you should choose the menu bar «I have no account. Registration».

The registration form is as follows:

Fields that are obligatory for filling are marked by an asterisk (*), other fields are optional:

  • *Company Name — the field containing a full name of the company up to 250 characters long;
  • Abbreviated Name — the field containing the abbreviated name of the company up to 250 characters long;
  • *Country — the field presupposes the choice of the country of a registered company from the dropdown list;

  • *Region — the name of the region where the company is located;
  • *City — the name of the city where the company is located;
  • *Street — the name of the street where the company is located;
  • *Postcode — the postcode of the company;
  • *Category — the field presupposes the choice from the list of the categories, by positioning the cursor in the appropriate box;

At this stage the user must choose the main areas of activities. It is required for further detailed description of goods and/or services. If you can't choose the appropriate category or none of the categories correspond fully to the activities your company performs, you can contact the administration of the Portal via e-mail info@export.by requesting to assist in defining the category for you production or to add a new category into the corresponding section of the catalogue.

  • *Categories of services — the field presupposes the choice of the appropriate category, by positioning the cursor into the corresponding box, and also by entering the keywords into the search line;

  • *Information about the company — the field, containing the description of the company's activities up to 4 000 characters long;
  • *Telephone — the telephone number of the company in the format +375 17 1234567. Automatically there is displayed a symbol of the country's flag;

During the registration the user should indicate at least one contact telephone number out of three suggested.

  • Skype — Skype of the company;
  • Fax — fax of the company with a country code in the format +375 17 1234567;
  • Web-site — the website of the organization in the format www.export.by;

  • Target markets — the field presupposes the choice from the list of the countries;
  • Markets — the field presupposes the choice from the list of the countries;
  • Trade offices — the field presupposes the choice from the list of the countries;
  • Number of employees — the field presupposes the choice of the number of the employees of the company in the proposed range: 1 — 5, 6 — 30, 31 — 100, 100 and over;
  • Annual turnover — the field consists of two parts: a number field for entering the numeric value of the company's turnover and the dropdown list for selection of currency;

  • Logo — the field, designed for uploading of the logotype of the company;

Uploading of the logotype

To upload the file to a server press the button «Upload image», choose «Upload image».

The maximum upload size — 3 mb. All files with extension .jpg, .png are accepted by the system.

In case of improper size or format the file won't be uploaded and the user will see the message:

  • Trademark — the field designed for uploading of the trade mark of the company;

  • The presence of Halal Certificate — the field comprises two parts: the first box is designed to put a tick (in case Halal Certificate is presented) and the other box- for choosing the country from the dropdown list;

  • *E-mail — the field for entering the e-mail address in the format info@export.by;
  • *Password — the field for entering the password for your account. The password must be strong to prevent attackers' attempts to acess your private data;
  • The word on the picture — the user should enter the characters requested (to prevent automated systems from signing up).

Note. If it is difficult make out the characters, press the link— Another code.

Attention. Under any circumstances do not give your password to anyone!

How to set up the password correctly?

To generate a strong password, use:

  • Latin letters, no less than 7 characters, and at least one uppercase letter;
  • numbers.

Press the button «Continue».

After you are done with all the necessary fields (make sure you've filled in the fields, by an asterisk) there will be created your user profile, which is automatically will be considered by the administrator of the Portal then. The user will be informed about it in User Acount by receiving the message «Your profile is under consideration by the administrator. Information about your company, goods, services, events and technologies will be available for public access only after verification».

Paid registration of non-residents of the Republic of Belarus on the Portal

The user who is not a resident of the Republic of Belarus in order to join the Portal is to pay one-year subscription. The Account will be activated after the administrator approves the uploaded payment documents and provided information.

After activation the profile status in the section «My Account» will be changed and a counter will appear indicating the number of days until the expiry day of subscription. The account will be available for viewing on the Portal.

Description of the modules of the Portal

The Portal structure 

In the upper part of the main page of the Portal there is a horizontal menu, which includes the following modules:

  • About Portal;
  • News;
  • Events;
  • Gallery;
  • User agreement;
  • User guide;
  • User account;
  • Русский (the button of switching the languages).

The most commonly used modules are «News», «Events» и «User account». Let's deal with these very modules.

Module «News»

Module «News» incorporates the major tendencies and a milestone events in the Republic of Belarus, international and Belarusian economic news, sectoral news, companies news. The user is allowed to read any news from the news cycle on the Portal.

To narrow searching out the news the users can exploit the filters suggested.

Module «Events»

This module is designed for displaying different international events, which are added by the administrators or the users of the Portal Export.by. Information about these events is available for all visitors of the Portal.

This module gives the user a possibility to subscribe to any events, which subsequently will be added to «User Account. My events».

If the user presses the button «I want to become a Participant», while displaying the corresponding event the user automatically will be presented on the list of participants.

For selecting the events of a certain subject it is possible to use the search filters.

Module «User Account»

Let's focus on filling of the menu items:

  • Private Data;

Module «Private Data»

The information provided by the user in this module will be available only for the administrator and will not be displayed on the Portal.

The Module comprises:

  • E-mail address, being used during the registration on the Portal;
  • Export ID — the unique number of the user account on the Portal;
  • Telephone number and other contact information of a person, who is working with the Portal.

Module «Change the Password»

To change the password in User Account choose «Change the Password». At first, in the appropriate fields enter your old password and then a new one twice. Press the button «Save».

The rules for setting up the password are described in the section «How to set up the password correctly?».

Module «Delete the Account»

Please mind, that deleting of the account leads to irreversible loss of all the data about the user.

Then here comes a warning message, where the user can undo the actions in case having been gotten to this page by mistake.

If the user chooses «Yes», the data will be deleted from the database, if the user chooses «No», he will be returned to User Account with the possibility to continue working with the Portal in accordance with the former configuration settings of the user profile.

Module «My messages»

Module «My messages» is an electronic mail box, which is designed for message exchange between the users and for communication with the administrators of the Portal. The user can send, delete the messages and also report to the administrator about spam and junk mail.

There are three main sections in the mail box: «Inbox», «Sent», «Deleted». The unread messages are put in bold.

The first message can be sent only from the company's page or from the page with the company's goods.

Thereafter it'll be possible to continue written communication from the User Account.

Module «My Goods, Technologies & Services»

Module «My Goods, Technologies & Services» is designed for placing information about the goods, technologies and services in the corresponding catalogues of the Portal Export.by.

To place the information about goods, technologies or services the user should:

  • go to the section «My Goods, Technologies & Services»;

  • click on the field with the symbol image «+»;

  • choose the item «Product», «Technology» or «Services».

Thereafter the user will be redirected to the page, where it will be possible for him to edit the information about goods, technologies or services.

The page for editing the information about the product includes the following parts:

  • Buttons for the choice of the language version, which are designed for switching between the language versions and placing information about the product in Russian or English;
  • *Title — this field displays the name of the product being created;
  • *Categories of Goods — this field provides the possibility to choose the appropriate category for the product from the dropdown list;
  • HS Code — HS Code of the product is requested in this field;
  • EAN13 Code — EAN13 Code of the product is requested in this field;
  • *Country — the field for choosing the country from the dropdown list;
  • Minimum Order — the field for indicating the minimal quantity of goods for the order;
  • Packaging — the type of packaging is requested in this field;
  • Terms of Delivery — the field for indicating the terms of delivery of goods;
  • *Price — the field for entering the price of the product. It is proposed to choose from the options: Set Price, Price Range and Contract Price;
  • *Summary and Specifications— the field requires a short description of the product;
  • *Full Product Information — the field requires a full description of the product being added to the catalogue;
  • Images — the field provides the possibility to upload the image of the product being created;
  • Presence of Halal Certificate — the field for indicating the presence of Halal Certificate for the product being created.

Note. The operational language version is highlighted in blue.

The page for editing the information about the technology includes the following parts:

  • Buttons for the choice of the language version, which are designed for switching between the language versions and placing information about the technology in Russian or English;
  • *Title — this field displays the name of the technology being created;
  • *Categories of Technologies — this field provides the possibility to choose the appropriate category for the technology from the dropdown list;
  • *Country — the field for choosing the country from the dropdown list;
  • *Price — the field for entering the price of the technology. It is proposed to choose from the options: Set Price, Price Range and Contract Price;
  • *Summary and Specifications— the field requires a short description of the technology;
  • *Full Technology Information — the field requires a full description of the technology being added to the catalogue;
  • Images — the field provides the possibility to upload the image of the technology being created;
  • Main Image — the field presupposes the choice of the main image from the uploaded ones. It'll be shown on the main page in the corresponding catalogue. 

The page for editing the information about the services includes the following parts (an asterisk (*) mark the fields that are obligatory for filling, other fields are considered optional):

  • Buttons for the choice of the language version, which are designed for switching between the language versions and placing information about the services in Russian or English;
  • *Title — this field displays the name of the service being created;
  • Categories of Services — this field provides the possibility to choose the appropriate category for the service from the dropdown list;
  • Country — the field for choosing the country from the dropdown list;
  • *Price — the field for entering the price of the service. It is proposed to choose from the options: Set Price, Price Range and Contract Price»;
  • *Summary and Specifications— the field requires a short description of the technology;
  • *Full Technology Information — the field requires a full description of the technology being added to the catalogue;
  • Images — the field provides the possibility to upload the image of the service being created;
  • Presence of Halal Certificate — the field for indicating the presence of Halal Certificate for the service being created.

The choice of the language used while filling in the information about the goods, technologies, services or events will determine further displaying of these goods, technologies, services or events on the Portal Export.by.

If the information about a product, technology, service or event is provided only in Russian or only in English, the information about a product, technology, service or event will be displayed only in the Russian or English version of the catalogue respectively.

If the information about a product, technology, service or event is provided in Russian and English, the information about a product, technology, service or event will be displayed in both language versions of the catalogue.

Module «My Offers»

To place a commercial offer the user should:

  •  go to the section «My Offers»;

  • click on the field with the symbol image «+»;

  • then the user should fill in the following fields:
  • Buttons for the choice of the language version, which are designed for switching between the language versions and placing information about the commercial offer in Russian or English;
  • *Offer Title — this field displays the name of the offer being created;
  • Target Markets — the field for choosing the country from the dropdown list;
  • *Offer Type — the field for choosing the type of the offer from the dropdown list;
  • *Starting Date — the field requires the date of the beginning of the offer;
  • *Closing Date — the field requires the date of the end of the offer;
  • *Description — the field requires a full description of the offer;
  • *Country — the field for choosing the country from the dropdown list;
  • Images — the field provides the possibility to upload the image of the commercial offer being created;
  • Main Image — the field presupposes the choice of the main image from the uploaded ones. It'll be shown on the main page in the corresponding catalogue; 
  • Documents — this field provides the possibility to upload the documents that will be available for downloading (in xls/x, .pdf, .doc/x formats) from the page of the created offer.

Note. The newly created offer will be placed in the catalogue of commercial offers after the administrator's approval.

Module «My events»

Module «My Events» is designed for placing information about exhibitions, forums, conferences and other events in the corresponding section of the Portal Export.by.

To place the information about the event the user should:

  • go to the section «My Events»;

  • click on the field with the symbol image «+»;

Thereafter the user will be redirected to the page, where it will be possible to create the event and edit the information about it.

The page for editing the information about the event includes the following parts (the fields marked with an asterisk «*» are obligatory for filling):

  • Buttons for the choice of the language version, which are designed for switching between the language versions and placing information about the event in Russian or English;
  • *Event Title — this field displays the name of the event being created;
  • *Event Type — the dropdown list for choosing the appropriate type of the event being created;
  • Categories of Goods — the dropdown list, from which the user can choose the categories of goods that match the description of the event;
  • Categories of Services — the dropdown list, from which the user can choose the categories of services that match the description of the event;
  • *Starting Date — the field requires the date of the beginning of the event;
  • *Closing Date — the field requires the date of the end of the offer;
  • *Short Description — the field requires a short description of the event;
  • *Full Description — the field requires a full description of the event;
  • *Country — the dropdown list for choosing the host country of the event;
  • *City — the field requires the name of the host city of the event;
  • *Phone — the field requires the contact telephone number;
  • Fax — the field requires the fax number;
  • E-mail — the field requires the contact E-mail;
  • Website — the field requires the website address of the event being created;
  • Image — the field provides the possibility to upload the image of the event being created;
  • Comments for the Administrator — the field allows to leave the message for the Administrator with the additional information about the event being created.

Note. Placing of the event on the Portal is carried out only after the Administrator's verification and approval. The event which was approved by the Administrator and placed on the Portal can not be deleted from the User Account. To delete the event the user should contact the Administrator by the e-mail info@export.by.

Module «Company Data»

Module «Company Data» contains information about the registered user, that is displayed in the catalogue of companies of the Portal Export.by and in the card of the company.

Initially the module contains primary data having been entered during the registration of the company. The module includes the list of fields for filling and editing, and also there are buttons for switching the language versions for filling and editing information in both languages.

Depending on the language used while adding the goods, services, technologies and events the latter can be displayed respectively only in one language version or in both.

If the information about the company is provided only in Russian, placing of the goods, services, technologies and events will be available only in the Russian version of the Portal.

If the information about the company is provided only in English, placing of the goods, services, technologies and events will be available only in the English version of the Portal.

If the information about the company is provided both in English and Russian, placing of the goods, services, technologies and events will be available in both versions of the Portal.

Module «Favorites»

Module «Favorites» allows viewing the list of companies and events the user has subsribed to, and also deleting items from this list in the User Account.

Possibility to add a company into «Favorites» is provided by the means of the company's card, and after that the added item becomes available in the module «Favorites» in the User Account.

Catalogue of goods

 All the created goods by the registered companies are placed in the catalogue of goods. The catalogue of goods of the Portal Export.by contains a general list of the section «Goods», the list of categories and filters.

In searching for the goods here are used:

  • the list of the categories of goods:

  • additional filters for searching in the catalogue of goods:

 After finishing the search of the product needed, the user can come to the product's card page.

Catalogue of services

All the created services by the registered companies are placed in the catalogue of services. The catalogue of services of the Portal Export.by contains a general list of the section «Services», the list of categories and filters.

Catalogue of technologies

All the created technologies by the registered companies are placed in the catalogue of technologies. The catalogue of technologies of the Portal Export.by contains a general list of the section «Technologies», the list of categories and filters.

All the companies registered and approved by the Administrator are placed in the catalogue of companies. The catalogue of companies of the Portal Export.by contains a general list of the section «Companies», the list of categories and additional filters for searching.

Catalogue of commercial offers

All the created commercial offers by the registered companies are placed in the catalogue of commercial orders. The catalogue of commercial offers of the Portal Export.by contains a general list of the section «Offers», the list of categories and filters.

EMERGENCIES
